Getting Started
An Initial half hour phone consultation to discuss goals and objectives of the project(s) at no charge to the client.
For businesses and business owners in the Niagara Region, an in-person initial consultation can be arranged for a travelling fee of $35.00. You will receive a $35.00 credit once you become a client of Niagara VA Solutions
A proposal outlining the scope of the services to be rendered will be provided before work is to begin. Proposals will cover in detail what services are to be provided and what the estimated costs of those services will be.
To estimate the project cost accurately, it is important to be as prepared as possible with the final written copy and have a clear intended purpose for the project.
Work will begin on your project, after receiving the agreed upon deposit.
Depending on the scope and type of work, projects may be billed hourly, or on a project by project basis
Pre-paid discounted retainer packages are payable in equal monthly installments and are due on the first business day before work is to commence. Monthly hours exceeding the plan's allotted time are charged at the discounted hourly rate and any unused hours do not carry forward nor are they redeemed.
Website and Graphics Projects
Larger projects are divided into three parts and billed for each part. The three parts consist of the design phase, the production phase and the delivery phase.
Depending on the size of the project deposits will range from 30% to 50%.
Invoices presented to clients must be paid prior to delivery of completed project.
Updates and maintenance will be billed at the time of service or you may want to use the pre-paid retainer option to guarantee the minimum hours of service needed each month.
We charge a 25% premium above our usual rates for rush jobs (turnaround time of less than 24 hours).
Invoices are billed electronically and time sheets are available upon request.
All final invoices must be reconciled prior to delivery of completed project to client.
All interim invoices must be reconciled before additional work commences.
Invoices not reconciled immediately will incur a late payment charge of $20 per month not paid.
Invoices are payable via the following methods:
PayPal, money order or company cheque.
Client will be responsible for all bank charges incurred due to returned cheques.
Working Terms:
The Consultant will provide the Client with a balance of hours on a time sheet at the time of invoicing. Payment terms may change if agreed upon and signed by both the Client and the Consultant.
The hourly rate is billed in increments of 15 minutes with a one hour minimum charge. Time will be rounded up to the nearest quarter hour.
Registration of client details and initial enquiries regarding a new task is complimentary. Any time taken carrying out work experimentally at the client’s request, or discussing an assignment in detail shall be charged at the standard hourly rate.
All clients must sign a Work Service Agreement before services are rendered; the agreement simply states the type of services to be rendered, agreed upon rate, billing cycle, classifications of services, and special stipulations (if any). If the monthly retainer services are selected the Work Service Agreement will include the months and requirements.
Should the client’s original requirements change; a revised estimate will be submitted for approval prior to any further work being carried out.
Hourly clients may terminate the use of the Contractor's services at any time without cause and without further obligation to Contractor except for payment due for services and work completed, prior to date of such termination. Deposits will not be refunded.
Final responsibility for proofreading errors in completed work (including manuscripts, dissertations) rests with the client. I can accept no responsibility for errors found after submission but will gladly correct any found within a reasonable time frame. Any errors generated by Niagara VA Solutions will be amended free of charge, however any amendments or alterations, suggested by the client, will be charged at the standard hourly rate.
I am not responsible for the end use of any document produced or edited by me. Clients are solely responsible for its appropriate use, including abiding by any copyright laws, plagiarism laws and publishing requirements. I am not responsible for the content of any document supplied to them. Clients should not pass off plagiarised material as their own original work. I will assume no responsibility for any plagiarised material supplied by a client and reserve the right to return the work should I become aware of such inappropriate use. I retain the right to reject work for any client which involves material I find to be illegal, immoral or objectionable.
Niagara VA Solutions will take all reasonable precautions to safeguard the property belonging to its clients. PA-Online cannot be held responsible for any loss, damage, theft of data, projects, equipment or any items relating to assignments, during transit to, from or whilst at PA-Online’s premises.
Due to the varied nature of Niagara VA Solutions’ work, it is not possible to insure client’s property.
Clients must make copies of all data and information and insure equipment and items for use away from their own premises, prior to submitting to Niagara VA Solutions.
Due to computer viruses, all incoming emails will be virus scanned. However, we may still not open unsolicited attachments to emails or emails that look suspicious by being from an unrecognised sender, having no subject heading or containing no message with an attachment.
I will not at any time or in any manner, either directly or indirectly, use for the personal benefit of Niagara VA Solutions, or divulge, disclose, or communicate in any manner any information that is proprietary to a client. I will protect such information and treat it as strictly confidential. This provision shall continue to be effective after the termination of any agreement.
I understand that confidentiality is a sensitive issue and I am happy to sign any non-disclosure or confidentiality agreement a client may require.
Back-up copies of client files are kept for a period of one year only. After that time, they will be deleted
